The Reset Rooms – Terms & Conditions

Please read these Terms & Conditions carefully before using our website, booking classes, purchasing memberships, attending the Studio or using any services provided by The Reset Rooms Wellness Ltd.
By using our Website, Apps, booking platform, Studio or services, you confirm that you accept these Terms & Conditions and agree to comply with them regardless of whether you choose to register with us.
All participants must sign The Reset Rooms Health & Safety Waiver on their Momence account before attending an in-studio class or using the sauna and cold plunge. It is the responsibility of the client to ensure they have understood and signed the waiver and are in a good state of health before participating in a class, event or service.
Nothing in these Terms & Conditions affects your statutory rights.
1. About Us
The Reset Rooms is a trading name of The Reset Rooms Wellness Ltd, a company registered in England and Wales (company number 16488437). Our registered office is 46 The Broadway, Crouch End, London N8 9SU.
The Reset Rooms provides yoga, reformer pilates and wellness services including, but not limited to:
- Yoga classes
- Reformer pilates classes
- Workshops and events
- Sauna facilities
- Cold plunge facilities
- Personal training and private sessions
- Retail products
- Wellness services
2. Bookings
All classes, workshops and services must be booked through our online booking platform.
Bookings are subject to availability.
The Reset Rooms reserves the right to amend schedules, instructors, services and opening hours where reasonably necessary.
Account Creation
The personal data which you are required to provide when you register as a customer must be true, accurate, current and complete in all respects.
You will notify us immediately of any changes to your personal data by updating these details on your online account.
You agree not to impersonate any other person or entity or to use a false name or a name that you are not authorised to use.
3. Memberships, Class Packs and Time-Restricted Purchases
Memberships and class packs are governed by these Terms & Conditions and any additional membership terms displayed at the point of purchase.
Membership types, pricing, durations and inclusions are displayed at the point of purchase.
Memberships, class packs and passes are personal and non-transferable.
Where you purchase a membership, class pack, pass or other time-restricted product and are unable to attend for medical reasons, we may ask you to provide a note from a medical professional confirming that you are unable to carry out the physical activity required to participate in our Studio classes or services.
Where appropriate, and at our reasonable discretion, we may freeze a membership or extend a class pack or pass for medical reasons for up to a maximum of three months. In exceptional circumstances, we may consider a partial or full refund, but this will be assessed on a case-by-case basis and does not affect your statutory rights.
4. Cancellation Policies: Classes, Sauna & Plunge Sessions
These cancellation policies apply to all bookings, including classes, sauna sessions and cold plunge sessions.
A late cancellation is any cancellation made within 6 hours of the scheduled start time.
Any late cancellation fees or no-show fees may be charged to the payment method held on your account.
Class Pack Holders
A late cancellation will result in the loss of the class or session credit.
Membership Holders
Members are permitted up to three late cancellations per calendar month.
From the fourth late cancellation onwards, a fee of £5 will apply for each late cancellation.
No-Shows
Failure to attend a booked class or session without cancelling will incur an automatic £10 no-show fee.

Workshops
Less than 24 hours’ notice: no credit or refund will be given.
More than 24 hours’ notice and up to 7 days’ notice: workshop credit will be given.
More than 7 days’ notice: a full refund will be given.
5. Changes, Cover Instructors and Cancelled Classes
The Reset Rooms reserves the right to change the instructor for any class, workshop or service where reasonably necessary, including due to illness, emergency, travel disruption or other circumstances outside our reasonable control.
If the original instructor is not available but a suitable cover instructor is provided, the class will go ahead and you will not be entitled to a refund solely because of the instructor change.
If an instructor is delayed, we will use reasonable endeavours to arrange cover or otherwise manage the class appropriately. If a class cannot go ahead, we will contact affected clients as soon as reasonably possible using the contact details held in their booking account.
Where The Reset Rooms cancels a class more than 24 hours before the scheduled start time and no suitable alternative is provided, any class credit used for that booking will be returned to your account or, where applicable, another appropriate remedy will be offered.
Where The Reset Rooms cancels a class less than 12 hours before the scheduled start time and no suitable alternative is provided, we will return any class credit used for that booking and provide an additional complimentary class credit, or offer another appropriate remedy where the original booking was made using a membership or other product that does not use individual class credits.
Where The Reset Rooms cancels a class between 12 and 24 hours before the scheduled start time, we will offer a returned class credit, an alternative class or another appropriate remedy depending on the product used to make the booking.
These remedies do not affect your statutory rights.
6. Retail
In-Studio Purchases
We are happy to offer an exchange or studio credit on items purchased at the Studio if returned within 30 days of purchase, provided they are unused, undamaged and, where relevant, in their original packaging. As these are in-person purchases there is no statutory right to change your mind, so this is offered as a goodwill policy.
Online Purchases
For items purchased online, you have a legal right to change your mind within 14 days of receiving your order and receive a refund, as set out in section 13 (Your Rights to End the Contract and Cooling-Off Rights). In addition, we offer the same 30-day exchange or studio credit described above, provided the conditions above are met.
Hygiene and Health Protection
For hygiene or health protection reasons, certain items may not be suitable for exchange or refund once used, worn, opened or unsealed, unless faulty. This may include, for example, opened hygiene-sensitive products or apparel that cannot reasonably be resold or reused for hygiene reasons.
Faulty Items
If an item is faulty, not as described or not fit for purpose, you are entitled to a refund, repair or replacement in accordance with your statutory rights, whether the item was bought in the Studio or online.
Your statutory rights are not affected.
7. Age Restrictions and Children on the Premises
You must be aged 18 or over to purchase memberships, class packs, passes or services from The Reset Rooms, unless a parent or legal guardian purchases or consents to the purchase on your behalf.
Unless otherwise specified by The Reset Rooms, participants must be aged 16 or over to attend Studio classes, including heated mat-based classes and reformer pilates classes.
Children under 16 may only participate in classes, workshops or services that are specifically designed for their age group, such as Baby & Me, family, pre/postnatal or children-specific sessions, and only in accordance with any age, supervision, waiver, consent and booking requirements stated for that session. For Baby & Me, parent-and-baby or child-specific sessions, a parent or legal guardian must complete any waiver, consent form or other booking requirement we reasonably require before attendance.
Clients aged 16 or 17 may create an account and book or attend Studio classes, but may not use the sauna or cold plunge facilities. Sauna and cold plunge facilities are only available to clients aged 18 or over.
Children under 16 may be present on the premises only if accompanied and appropriately supervised by an adult aged 18 or over, unless The Reset Rooms has expressly confirmed otherwise for a specific class, service or event.
An adult attending or using our services cannot supervise a child under 18 at the same time, unless the class or service is specifically designed for adult-and-child participation. The Reset Rooms does not provide childcare for children of any age.
8. Health & Safety
Participation in yoga, reformer pilates, heated classes, workshops, sauna use, cold plunge use and other wellness activities involves inherent risks.
By attending classes or using our facilities, you acknowledge these risks and agree to participate voluntarily.
You are responsible for ensuring that you are physically and medically fit to participate.
You must inform instructors of any injury, illness, pregnancy, postnatal status or medical condition that may affect your participation.
All clients must complete a Health & Safety Waiver through Momence before attending classes or using Studio facilities.
9. Reformer Pilates
Reformer pilates involves specialist exercise equipment.
Participants must follow all instructor guidance and safety instructions at all times.
The Reset Rooms reserves the right to refuse participation where it considers attendance may present a safety risk.
10. Sauna & Cold Plunge
Use of sauna and cold plunge facilities is entirely voluntary and undertaken at your own risk.
If you are pregnant, recently postnatal, have cardiovascular conditions, underlying medical conditions or are taking medication, you should seek medical advice before use.
The Reset Rooms reserves the right to refuse access where it reasonably considers use to be unsafe.
11. Studio Conduct, Dress, Photography and Lateness
Members and guests are expected to behave respectfully towards staff, instructors and fellow clients.
Disruptive, unsafe, abusive or inappropriate behaviour may result in refusal of entry, suspension or termination of membership without refund, subject to your statutory rights.
Please do not take photos or videos during classes unless authorised by the instructor and unless any other people who may appear in the photo or video have given their consent.
Please dress appropriately for a fitness and wellness setting, including suitable activewear and appropriate footwear where applicable.
You must use and/or wear any equipment or apparatus, including protective gear where relevant, sensibly and as directed by a The Reset Rooms instructor or member of staff. If you are unsure how to use any equipment or apparatus, please ask us before using it.
You should aim to arrive at least ten minutes before your scheduled class. If you are not physically present five minutes before the scheduled class start time, your spot may be released to another client.
Entry to classes after the scheduled start time is permitted solely at the discretion of The Reset Rooms staff. If you arrive late, you should not expect to gain entry and you will not be entitled to a refund for the missed class.
12. Personal Belongings
Personal belongings are brought into the Studio at your own risk.
The Reset Rooms accepts no responsibility for loss, theft or damage to personal belongings except where caused by our negligence.
13. Your Rights to End the Contract and Cooling-Off Rights
You may end your contract with us in accordance with these Terms & Conditions and your statutory rights. Your rights when you end the contract will depend on what you have purchased, whether there is anything wrong with what we have provided, how we are performing and when you decide to end the contract.
If you are ending a contract because of something we have done or are going to do, the contract will end immediately and we will refund you for any services or products paid for but not provided, subject to your statutory rights. This may include where:
- we have told you about an upcoming change to the services or these Terms & Conditions which materially disadvantages you and you do not agree to the change; or
- we have told you about an error in the price or description of a product or service you have ordered and you do not wish to proceed.
For most products or services bought online, by phone or away from our premises, consumers may have a legal right to change their mind within 14 days and receive a refund. This is commonly known as the cooling-off period.
Where you ask us to begin providing services during the 14-day cooling-off period, you acknowledge that we may charge you for any services provided up to the point at which you tell us you wish to cancel. Where a service has been fully performed during the cooling-off period, your right to change your mind may be lost once performance is complete, subject to applicable consumer law.
Your right to change your mind may not apply, or may be limited, in respect of:
- services once they have been fully performed;
- digital products after you have started to download or stream them;
- products sealed for health protection or hygiene purposes once unsealed after you receive them; and
- apparel or other items that, for health protection or hygiene reasons, would be inappropriate to resell or reuse once used or worn.
To exercise any cancellation right, please contact us using the details in section 19.
14. Liability
Participation in all activities is undertaken voluntarily and at your own risk.
To the fullest extent permitted by law, The Reset Rooms shall not be liable for injury, illness, loss, damage, costs or expenses arising from participation in Studio activities or use of Studio facilities except where such loss results directly from our negligence or where liability cannot legally be excluded.
Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud or any liability that cannot legally be excluded under applicable law.
15. Privacy and Personal Information
Personal data will be processed in accordance with applicable UK data protection legislation and our Privacy Policy.
You acknowledge and accept that you have read and understood our Privacy Policy when you accept these Terms & Conditions.
You must not share your personal account, membership or booking information with any other person where this may lead to unauthorised use of your account, membership, data or services.
You should use a strong password for your account credentials. The Reset Rooms does not accept liability for unauthorised access caused by your use of common, weak, shared or otherwise easy-to-compromise passwords, except where we are legally responsible.
16. Changes to These Terms
We reserve the right to amend these Terms & Conditions from time to time.
The latest version will always be available on our website.
Where a change materially affects an existing membership or purchase, we will notify affected clients where reasonably practicable.
17. Other Important Terms
We may transfer our rights and obligations under these Terms & Conditions to another organisation. We will tell you in writing if this happens and will ensure that the transfer does not affect your rights under the contract.
You may only transfer your rights or obligations under these Terms & Conditions to another person if we agree to this in writing.
This contract is between you and us. No other person shall have any rights to enforce any of its terms.
Each section of these Terms & Conditions operates separately. If any court or relevant authority decides that any section is unlawful, the remaining sections will remain in full force and effect.
If we do not immediately insist that you do something you are required to do under these Terms & Conditions, or if we delay in taking steps against you in respect of a breach, that will not prevent us from taking steps at a later date.
18. Governing Law
These Terms & Conditions are governed by the laws of England and Wales and subject to the exclusive jurisdiction of the English courts.
If you are a consumer, you may bring legal proceedings in respect of the products or services in the English courts. If you live in Scotland, you may bring legal proceedings in either the Scottish or English courts. If you live in Northern Ireland, you may bring legal proceedings in either the Northern Irish or English courts.
