Privacy Policy
Last updated: 1 October 2026
This policy explains what personal information The Reset Rooms collects, why, who we share it with, and what you can ask us to do with it. We’ve tried to keep it plain.
Who we are
The Reset Rooms is a trading name of The Reset Rooms Wellness Ltd, a company registered in England and Wales (company number 16488437). Our registered office is 46 The Broadway, Crouch End, London N8 9SU. We are the controller of the personal information described here.
For anything about your data, email [email protected] or call 020 3544 1425.
What we collect, and why
Booking, memberships and payments
Classes, memberships, packs, sauna and cold plunge sessions and shop orders are booked and paid for through Momence, our booking platform. When you create an account or book, we receive your name, email address, phone number, booking and attendance history, and what you’ve bought. Card payments are handled by Momence and its payment processor: we never see or store your full card details.
We use this to run your bookings and membership, take payment, contact you about classes you’ve booked, and keep the records the law requires. Our lawful basis is that it’s needed to provide what you’ve signed up for (contract), and for financial records, a legal obligation.
Health information
Before your first in-studio class or sauna and plunge session, you sign our health and safety waiver on your Momence account, and you may tell us or your teacher about injuries, pregnancy or medical conditions. This is health data, which the law treats as especially sensitive. We use it only to keep you safe in the studio, and share it only with the teachers and staff who need it. We rely on your explicit consent, which you give when you complete the waiver or tell us.
Newsletter and prize draws
If you sign up to our newsletter or enter a prize draw on this website, we collect your first name and email address. If you arrived from one of our ads, posts or QR codes, we also note which one (for example “Instagram” or “October stall”), so we know which of our campaigns are worth the effort. We keep a copy on our website and pass it to Momence, which we use to send our emails.
We rely on your consent. Every email has an unsubscribe link, or you can email us and we’ll take you off the list.
Contact form, email and phone
If you get in touch, we receive whatever you send us: usually your name, email address, phone number and message. We use it to reply, on the basis of our legitimate interest in answering questions about the studio.
Anonymous feedback
Our feedback form is anonymous. We don’t record your IP address or anything else that identifies you, unless you choose to put your name or contact details in the message.
CCTV
We have CCTV cameras on our two external doors, with signs so you know they’re there. They’re there to keep the studio, our clients and our team safe, and to help prevent and deal with crime. They don’t record sound, and there are no cameras inside the studio, changing rooms or toilets.
Only the studio’s management can view the footage. We share it only when we have to, for example with the police or our insurers after an incident. Our lawful basis is our legitimate interest in keeping people and the premises safe. You can ask for a copy of footage you appear in.
Cookies and analytics
When you first visit, we ask whether you’re happy for us to use analytics and advertising cookies, from Google Analytics and the Meta Pixel. Nothing is set unless you choose Accept, and you can change your mind at any time with “Cookie settings” at the bottom of every page. Our cookie policy lists every cookie we use, what it’s for and how long it lasts.
Who we share it with
We don’t sell your information. We share it only with the companies that help us run the studio, and only what each one needs:
- Momence: bookings, payments, memberships and our email newsletter
- Google: website analytics (with your consent), and the fonts this site uses, which load from Google’s servers and so receive your IP address
- Meta: ad measurement (with your consent)
- Cloudflare: website security and speed
- Krystal: website hosting, in the UK
We may also share information where the law requires it, for example with HMRC or the police.
Some of these companies store data outside the UK, mainly in the United States. Where they do, the transfer is protected by the safeguards UK law requires, such as the UK–US data bridge or the UK’s standard contractual clauses.
How long we keep it
- Account and booking records: for as long as you have an account with us, then up to six years for tax and accounting purposes
- Health information: while you’re an active client. Ask us and we’ll delete it once you stop coming
- Newsletter and prize draw sign-ups: until you unsubscribe or ask us to delete them
- Messages you send us: up to two years after we last hear from you
- CCTV footage: 30 days, then recorded over, unless we need a clip to deal with an incident, in which case we keep it until that’s resolved
- Analytics: 14 months
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that’s wrong
- delete your information, where we don’t need to keep it by law
- stop or limit how we use it, or object to us using it
- send your information to you or another organisation in a reusable format
- withdraw your consent at any time, for emails, cookies or health information, without affecting anything we did before
Email [email protected]. We’ll reply within one month and won’t charge you.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
